How to get a death certificate in India when you’re an NRI

Almost every bank, insurer, EPFO, and society process after a death starts with the death certificate. For NRI sons and daughters, the certificate is often obtained by a local sibling, hospital desk, or funeral organiser while you are still on a flight. Knowing who registers the death, how many copies to request, and which spellings must match Aadhaar saves a second trip. This is a practical continuity checklist — registration rules and portals differ by state and municipality.

Who typically starts the registration

If the death occurred in a hospital, the facility often initiates medical documentation and guides the family toward municipal / local body registration. If the death occurred at home, the family usually works with the local registrar / municipal office with the required medical certificate. Confirm the local checklist — do not rely on a pan-India WhatsApp forward.

  • Hospital deaths: ask the billing / medical records desk what they issue and what you must file next.
  • Home deaths: identify the correct local registrar early; wrong office = wasted day.
  • Appoint one local ops person; abroad siblings supply passport name spellings by scan.
  • Keep the deceased’s Aadhaar / voter / ration details handy for form fields.

How many copies and why

Families underestimate copy count. Banks, LIC, demat, employer, society, and passport offices may each want a certified copy or attested photocopy. Ask the issuing office about additional certified copies while you are there — returning from abroad for one more stamp is painful.

  • Request multiple certified copies up front when the office allows.
  • Scan one clear colour copy into the family vault immediately.
  • Never send the only original through unreliable couriers without tracking.

  • Share passport / OCI name strings for every heir who will appear on later certificates.

  • If you need the certificate apostilled / attested for a foreign process, ask counsel which stamp path applies — it is separate from municipal issue.
  • Do not pay unknown “online certificate agents” your Aadhaar OTP.
