EPF claim after death: what NRI nominees and heirs should prepare

EPF balances and EPS pensions are easy to forget when a parent’s last private-sector job ended years ago — until someone finds an old UAN SMS or Form 26AS shows PF interest. For NRI children, the claim path is document-heavy and slow if the nominee is wrong or the UAN is unknown. Map UAN, employer, and nominee while the member can still log in. This is a family-operations guide based on common claim friction; always follow current EPFO / employer instructions for your case.

What you are usually claiming

Depending on the member’s status, families may deal with provident fund accumulations, EPS-related benefits, or employer-specific gratuity / insurance that sits beside EPF. Treat “Papa had PF” as a label — verify UAN, member ID, and which benefit applies after death.

  • UAN (Universal Account Number) is the key search handle when known.
  • Nominee registered in EPFO may differ from bank / LIC nominees.
  • EPS widow/widower or children pensions have separate eligibility rules — check official guidance.
  • Old exempted trusts / company PF may not be on the same portal as EPFO — ask the last employer HR.

Peacetime capture (best ROI for NRIs)

  • UAN and registered mobile / email on the member account.
  • Last employer name and HR / payroll contact if any.
  • Nominee name as shown in the passbook / portal.
  • Aadhaar / PAN seed status — KYC mismatches block claims.
  • Whether the member still has the UAN app OTP phone.
  • Store these as a Life Map item under retirement / employment.

After death: documents families commonly gather

Exact forms change; EPFO and employers publish current checklists. Expect identity, death, and relationship proofs. NRI claimants should plan bank account details that can receive the credit and name-matching across passports.

  • Death certificate.
  • Claimant ID and bank details for payout.
  • Proof of relationship / nominee status as required.
  • Member’s UAN / PF details from the Life Map.
  • Any employer NOC or forms if the trust is company-managed.

Where claims stall

  • Unknown UAN — search via employer, old salary slips, or member’s email.
  • Nominee is deceased or never updated after remarriage / divorce.
  • Aadhaar name mismatch with bank account.
  • Multiple UANs never merged.
  • Family filing overlapping claims without coordination.

NRI-specific practical tips

  • Appoint a local sibling or trusted person for physical form submission if required.
  • Keep one shared checklist — do not run parallel claims from two countries.
  • Do not share UAN passwords in large groups; use the vault for refs.
  • Track acknowledgement / claim numbers in the Life Map notes.

How HeirReady fits

HeirReady is where the UAN, employer, and nominee facts live for every sibling. It does not file EPFO claims or replace the member portal. Combined with unlock-with-proof later, it stops the “which UAN was it?” week.

  • Map PF / EPS as a vault item with encrypted refs.
  • Invite sibling managers for shared follow-up.
  • Link related insurance / gratuity items from the same employer.
